This explains what information Clubenza collects, why we collect it, and who else handles it. Clubenza is a service of PHORPHX LLC, based in Arizona, United States.
Two kinds of people use Clubenza
Club staff hold accounts with us — owners, admins and coaches who sign in to run their club. Families do not hold accounts; they submit forms on a club's public site, accept roster offers, and pay dues.
For information that families give to a club, the club decides what to collect and why. We hold and process it on that club's behalf.
What we collect from club staff
- Email address, used to sign in and to contact you
- Your name, if you provide it
- Your club's details: name, branding, teams, seasons, and site content
- Records of your club's subscription, including its status and renewal date
What clubs collect from families through Clubenza
- Parent or guardian name, email address, and phone number
- Player name and playing experience
- Messages sent through a club's contact or interest form
- Roster status: offers made, accepted or declined, and waiver status
- Records that a dues payment was requested and whether it was paid
Information about children. Youth sports means much of this is about minors. A parent or guardian submits it, not the child. We do not knowingly let children create accounts or submit forms on their own behalf. If you believe a child has given us information directly, email us and we will delete it.
What we never see
We do not receive or store card numbers or bank details. Payment details go directly to Stripe. We keep only the outcome — that a payment succeeded, its amount, and Stripe's reference for it.
Dues paid by families settle directly into each club's own Stripe account. That money never passes through Clubenza.
Why we use it
- To operate the service: sign-ins, club sites, rosters, and dues
- To send transactional email — sign-in links, roster offers, dues requests, and reminders
- To bill clubs for their subscription
- To keep the service secure and investigate abuse
- To answer you when you contact us
We do not sell personal information, and we do not use families' information to advertise to them.
Who else handles it
We use a small number of providers to run Clubenza. Each handles data only to provide its service to us:
- Supabase — database and authentication. Club and family records are stored here.
- Stripe — payments. Handles all card details, for both club subscriptions and family dues.
- Resend — transactional email delivery.
- Vercel — hosting for the website and application.
- Google — advertising measurement on our marketing site only, when enabled. It is not present on club sites and does not track families.
We may also disclose information where the law requires it, or to protect the rights and safety of our users.
Cookies
When you sign in, we set a cookie that keeps you signed in. It is necessary for the service to work and cannot be turned off while you use the application.
Our marketing site may set an advertising measurement cookie from Google when that is enabled. Club sites and public forms do not.
How long we keep it
We keep club and family records for as long as the club's account is open. When an account is closed we delete its data within 90 days, except where we must keep records longer — payment and tax records, for example.
Your choices
You may ask us for a copy of your information, ask us to correct it, or ask us to delete it. Email us and we will respond within 30 days.
If you are a family rather than club staff, contact your club first — it decides what it holds about you. We will help your club act on your request.
Security
Data is encrypted in transit and at rest. Each club's data is isolated at the database level, so one club cannot read another's. Access by us is limited to what is needed to operate and support the service.
No system is perfectly secure. If a breach affects your information, we will tell you and any regulator required, promptly.
Where data is held
Clubenza is operated from the United States and information is stored there. If you use Clubenza from elsewhere, you are sending your information to the United States.
Changes
We may update this policy. If a change materially affects how we handle your information, we will give notice by email before it takes effect.
