Terms of Service
Last updated 27 September 2026
These terms govern your club's use of Clubenza. They describe what we provide, what you pay, and how payments between your club and its families work.
Who we are
Clubenza is a service of PHORPHX LLC, a limited liability company registered in Arizona, United States. In these terms, “we”, “us” and “Clubenza” mean PHORPHX LLC. “You” and “your club” mean the organization that holds a Clubenza subscription.
What Clubenza provides
Clubenza is software for running a youth sports club. A subscription provides your club with a public website, and tools to manage registrations, team rosters, roster offers, participant waivers, gear and sponsor information, and dues.
We provide the software. We do not coach, organize, supervise, or take any part in your club's activities, and we are not responsible for them.
Accounts
You must give accurate information when creating an account and keep it current. You are responsible for everything done through your club's account, including by the people you invite to it. Sign-in links are sent by email and should not be shared.
You must be authorized to act for your club, and at least 18 years old, to hold an account.
Subscriptions and billing
- The Founding Club plan is 49 USD per month and is limited to the first ten clubs to subscribe.
- The Clubenza Club plan is 99 USD per month.
- Concierge setup is an optional one-time fee of 299 USD, billed separately when you buy it.
Subscriptions are billed monthly in advance through Stripe, starting on the day you subscribe, and renew automatically each month until cancelled. Prices are in US dollars and exclude any taxes we are required to collect.
We may change our prices. If we change the price of a plan your club is already on, we will give you at least 30 days' notice by email before it takes effect, and you may cancel before then.
If a payment fails, we will retry it. Your club's site and workspace stay available while we do. If payment is not resolved, we may suspend the account.
Cancellation
You may cancel at any time. Your subscription remains active until the end of the period you have already paid for, and is not renewed after that. See our Cancellation & Refunds policy for details.
Dues paid by families — important
Clubenza does not collect, hold, or process your club's dues. Your club connects its own Stripe account, and money paid by families settles directly into that account. Clubenza is not a party to those transactions.
That means your club is the merchant of record for dues. Your club sets the amounts, is responsible for refunds and disputes with its families, and is bound by Stripe's own agreement for the connected account it opens. Questions from a family about a dues payment, a refund, or a chargeback are for your club to answer, not us.
Your content and your families' information
Your club keeps ownership of everything it puts into Clubenza: its branding, its site content, its rosters, and the information its families submit. You grant us only the permission needed to host and display that content in order to operate the service for you.
Your club is responsible for having the right to use what it uploads, and for handling the personal information of its players and families lawfully. Many of those people are children. Collect only what you need, and tell families what you are collecting it for. How we handle that information is described in our Privacy Policy.
Acceptable use
You agree not to use Clubenza to:
- break the law, or help anyone else do so
- publish content that is unlawful, deceptive, harassing, or infringes someone else's rights
- send unsolicited bulk email through the service
- attempt to access another club's data, or to probe, disrupt, or overload the service
- resell or white-label Clubenza as your own product
Suspension and termination
We may suspend or close an account that breaches these terms, that is being used unlawfully, or where non-payment is unresolved. Where it is reasonable to do so, we will contact you first and give you a chance to put it right.
You may close your club's account at any time. On request within 30 days of closing, we will provide an export of your club's data.
Availability
We work to keep Clubenza available and your data safe, but we do not promise the service will be uninterrupted or error-free. We may change or discontinue features. If we discontinue something your club materially relies on, we will give reasonable notice.
Disclaimers and limitation of liability
Except where the law says otherwise, Clubenza is provided “as is”, without warranties of any kind. We are not liable for indirect, incidental, or consequential losses, or for lost profits, revenue, or data.
Our total liability arising out of or relating to these terms is limited to the amount your club paid us in the twelve months before the event giving rise to the claim.
Nothing in these terms limits liability that cannot lawfully be limited.
Changes to these terms
We may update these terms. If a change materially affects your rights, we will give at least 30 days' notice by email before it takes effect. Continuing to use Clubenza after that means you accept the updated terms.
Governing law
These terms are governed by the laws of the State of Arizona, United States, without regard to its conflict of laws rules. The courts of Maricopa County, Arizona have exclusive jurisdiction.
